Business rules

No-code logic that shows or hides columns, sets values, locks, requires and warns, based on conditions.

What it is

A business rule is an If condition with Then and optional Else actions on a table. The actions are Set Field Value, Set Default Value, Show Error Message, Lock/Unlock, Set Visibility, Set Business Required and Recommendation. Rules run as you edit, so columns appear, disappear or lock without a script.

When to use it

Use business rules for simple, frequently changing form logic that a maker can maintain. Use a script when you need loops, calls to other records or logic a rule cannot express. For checks that must hold for every channel, add column limits or server logic as well.

Licensing and configuration

No extra licence. Create rules in the form designer under Business rules, or on the table under Business rules. The scope decides where a rule runs: Table (all forms and the server), All Forms, or one specific form. Users need at least user-level Read on the Process table, which the Basic User role includes.

Pitfalls

  • A column used in a rule must also be on the form, or the rule does not fire.
  • Business rules do not work with multi-select choices, nor with composite columns such as Full Name or Address.
  • To edit an active rule you must deactivate it first.
  • Past about 150 business rules on one table, performance can suffer.
  • DateOnly columns are handled in UTC in rules, which can surprise users in other time zones.

Try it in the demo

  1. Open the rules list on the first accelerator and see which conditions hold now.
  2. Set Type to Template and watch Template URL appear and become required.
  3. Set Status Reason to On hold to show Hold reason.
  4. Set Confidential to Yes and see Audience and Customer locked.
