View selector

The drop-down above a grid that switches between system views and your personal views, and lets you save, manage and share views.

What it is

The view selector is the view name at the top of the grid, with a chevron. Select it and you get a list of views for the table, split into My Views (personal views you created) and System Views (made by an administrator or maker). The default view carries a Default label. A search box at the top helps in long lists. After you change columns or filters you can save the result as a new view and manage or share your personal views.

When to use it

Use system views for what everybody needs, such as Active accelerators or a team's open work. Use personal views for your own filters and column sets. If you find yourself rebuilding the same filter every morning, save it. For a different way to see the same rows, switch to a Kanban view instead of making another view.

Licensing and configuration

No extra licence. System views are built in the view designer from the table in Power Apps, or from the app designer. Which system views are available in the app is set per table in the app designer. Personal views come from users saving their own filters and columns.

If the administrator turns on the modern advanced find experience, the list is no longer split into two groups. A personal view then shows a user icon instead.

Pitfalls

  • A view's columns and filters need to be saved before sharing, or colleagues will see the old definition.
  • Personal views multiply. Without naming conventions the list gets long and people stop using it.
  • Only views included in the app appear, so a view you built can seem to be missing.

Try it in the demo

  1. Open the view selector and read the two groups.
  2. Change a view with Edit columns, then use Save as new view.
  3. Find your new view under My Views and set it as the default view. Manage and share views shows a "not available" message in the demo.
